Automated practice reporting for law and accounting firms

Practice Reporting is a weekly utilisation, WIP and cashflow report that Pylon Digital builds on your practice-management and accounting systems, then runs for you. It is for law, accounting and advisory firms whose partners lose Monday mornings to spreadsheets. Partners get the same trusted numbers every week, without anyone re-keying data.

Is it right for you

Who it's for

Practice Reporting suits 10–100 person law, accounting and advisory firms that already run a practice-management system but still build partner reports by hand. The usual trigger is a partner meeting where nobody trusts the WIP figure, or a practice manager who loses half a day each week to exports.

Why do partner reports take so long to build?

Partner reports take long because the numbers live in different systems and nobody owns the definitions. Time sits in the practice-management system, invoices and receipts sit in the accounting system, and targets sit in a spreadsheet. Each week someone exports, cleans and combines them, and small differences in how WIP or utilisation is calculated start arguments instead of decisions.

Practice Reporting fixes the plumbing and the definitions together. Once the connections run on a schedule and every figure has a written definition, the report stops being a weekly project and becomes something partners simply read. Our guide to automating your weekly WIP and utilisation report walks through the same approach step by step.

What partners see

The weekly report, built for you

Partners get utilisation, WIP, lock-up and cashflow on one page, by partner, team and client, with flags for what needs action first.

An example weekly partner report with sample data: utilisation, unbilled WIP, lock-up and cash received, a utilisation-by-team chart against target, a WIP trend and debtors by age.

Deliverables

What you get

You get a finished weekly report and the plumbing behind it, documented and handed over, so the numbers keep arriving after the build ends.

  • Weekly partner report

Utilisation, WIP, lock-up and cashflow on one page, by partner, team and client, delivered by email or in Power BI.

  • Automated data connections

Scheduled connections to your practice-management and accounting systems, so nobody exports or re-keys data.

  • Agreed metric definitions

A written definition for every figure, such as what counts as WIP and how utilisation is calculated, signed off by your partners.

  • Exception flags

Highlights for aged WIP, slipping recoverability and overdue debtors, so partners see what needs action first.

  • Handover documentation

A plain-English guide to where each number comes from, how it refreshes and who has access.

  • Monthly run and support

We monitor every refresh, fix broken connections and adjust the report as the firm changes.

Process

How it works

The path is fixed: a discovery call, a scoped build, then a monthly service that keeps the report running.

  1. Step 0145 minutes, free

    Discovery call

We look at your systems, the reports partners use today and the decisions they need to make.

  2. Step 02Agreed in writing

    Metrics and access

We agree metric definitions with your partners and set up access to read data from the source systems.

  3. Step 03Timeline in your proposal

    Build and reconcile

We build the connections and the report, then reconcile every figure against your own numbers until they match.

  4. Step 04Timeline in your proposal

    First reports and handover

Partners receive the first live reports, we tune the layout with them and hand over the documentation.

  5. Step 05Monthly, ongoing

    Run

We keep the report accurate as your firm, systems and targets change.

Integrations

Systems we work with

We build on the systems your firm already uses rather than asking you to change them. Where a system needs connecting first, that sits under integrations and custom tools.

  • Xero Practice Manager
  • Xero
  • MYOB
  • Actionstep
  • LEAP
  • Clio
  • Microsoft 365
  • Power BI

Security & data residency

Where your data goes, and who can see it

Practice data includes client names, fees and debtors, so we treat it as confidential from the first connection. The report only reads from your systems, and only people you approve can open it.

Read, never write
The report reads from your practice and accounting systems and never writes back to them. We use read-only access wherever a system offers it.
Named access
Only the partners and staff you approve can open the report, with single sign-on where your systems support it.
Where data is stored
Report data is stored in fully GDPR-compliant data centres. Our security and data residency page explains how we protect it.
Privacy
Each system's handover documentation records what personal information it holds, where it is kept and who can see it, so your firm can answer privacy questions from clients and regulators.

Pricing

Pricing guidance

Pricing model: Setup + monthly

Setup fee plus a monthly fee, both quoted in writing after the free discovery call. The setup fee depends on how many systems we connect and how many views partners need. The monthly fee covers refreshes, monitoring and changes.

Illustrative example

Example: a 30-person accounting firm on Xero Practice Manager

Talk through a similar build

Illustrative scenario: a practice manager exports timesheets and invoices from Xero Practice Manager every Monday and rebuilds the same spreadsheet for the partners' meeting. With Practice Reporting, the data refreshes overnight and partners open one report showing utilisation by team, WIP older than 60 days and debtors older than 90 days.

Commitments

What you can hold us to

These are the working rules behind every engagement, from the first discovery call to the monthly Run service. Ask us on the call how each one works for the system you have in mind.

  • Scope and price in writing first

Every build is scoped and priced in writing before work starts, so there are no open-ended hours.

  • A person approves what agents send

Our AI agents draft; a person at your firm approves what they send. The After-hours Receptionist answers live only from wording your firm approves in advance.

  • Every agent action logged

Every action an agent takes is recorded in an audit log, so you can see exactly what it did.

  • GDPR-compliant data centres

Client data in the systems we build and run is stored in fully GDPR-compliant data centres.

  • Accessible, fast websites

Websites are designed and tested against WCAG 2.2 level AA and Google’s Core Web Vitals “good” thresholds.

  • Built and run under one roof

A build can move straight onto a monthly Run service with us, so it is not handed over and forgotten.

Questions

Frequently asked questions

How much does automated practice reporting cost?

Practice Reporting is priced as a setup fee plus a monthly fee, both quoted in writing after the free discovery call. The setup fee depends on how many systems we connect and how many report views your partners need. The monthly fee covers scheduled refreshes, monitoring, fixes when a source system changes, and small adjustments to the report.

Which practice-management systems do you work with?

We work with Xero Practice Manager, Xero and MYOB for accounting firms, and Actionstep, LEAP and Clio for law firms. If your system offers an API or a scheduled export, we can usually connect to it, although some vendors approve API access case by case. We confirm what is possible for your systems before you commit to a build.

Do we need Power BI?

No. Power BI is one way to deliver the report, and it suits firms already on Microsoft 365 with Power BI licences. Other firms may prefer a clean PDF or web report in their inbox each week. We recommend a format during discovery; our guide to Power BI vs Xero reporting compares the options.

How long does it take to get the first report?

Most of the time goes into agreeing metric definitions and reconciling numbers, not building. The timeline is set out in your proposal and depends on how many systems we connect and how quickly partners sign off definitions. You see draft reports during the build, so there are no surprises at handover.

Who can see the report?

Only the people you approve. We set access by role, so partners can see firm-wide figures while team leaders see their own team's utilisation and WIP. Where your systems support single sign-on, staff log in with their existing work accounts, and access ends when someone leaves the firm.

What happens when our systems change?

The monthly Run service covers it. If a vendor changes its API, or you open an office or restructure teams, we update the connections and the report so partners keep receiving accurate numbers. A move to a different practice-management system is quoted separately. That ongoing care is the difference between a report that works in month one and one that still works in year three.

Secure by design. Set up correctly. Fully managed.
